This Privacy Policy explains how ReloIQ collects, uses, stores and shares personal information.

ReloIQ is a business-to-business service and is not intended for use by children.

3. WHAT RELOIQ DOES

ReloIQ monitors publicly available UK company information, including Companies House filings, to identify signals that may indicate a business relocation.

ReloIQ applies filtering and scoring to this information to help suitable business service providers identify potential commercial opportunities.

An address-change filing does not necessarily mean that a business has physically relocated or requires a particular service.

4. INFORMATION WE MAY COLLECT

Depending on how you interact with ReloIQ, we may process:

Business contact information

- name;
- job title or role;
- business name;
- company number;
- business email address;
- business telephone or mobile number;
- business website;
- geographic service areas.

Customer and account information

- Buyer Agreement acceptance and signature records;
- agreement version;
- signature timestamp;
- IP address and electronic-signature audit information;
- lead delivery preferences;
- selected communication channels;
- subscription or account status;
- customer support messages;
- lead feedback and replacement requests.

Payment information

Payments may be processed by a third-party payment provider such as Stripe.

ReloIQ does not need to store full payment-card details.

We may receive and retain information such as:

- transaction identifier;
- subscription status;
- amount paid;

Communications

6. WHY WE USE PERSONAL INFORMATION

- providing relocation intelligence;
- matching relocation opportunities to relevant customers;

Our lawful basis will normally be performance of a contract or taking steps at your request before entering into a contract.

Buyer Agreements and records

- establish who agreed to ReloIQ's Buyer Agreement;
- confirm authority to enter into the Agreement;
- maintain evidence of acceptance;
- resolve disputes.

Our lawful bases are performance of a contract and our legitimate interests in maintaining reliable contractual records.

Payments and accounting

We process payment, billing and transaction information to:

- collect payments;
- administer subscriptions;
- issue invoices or receipts;
- maintain financial records;
- comply with tax and accounting obligations.

Our lawful bases may include performance of a contract and compliance with legal obligations.

Business-to-business marketing

ReloIQ may contact suitable businesses about ReloIQ services where permitted by law.

Where personal information is involved, we may rely on legitimate interests to carry out proportionate business-to-business marketing.

- whether the communication is relevant to the recipient's professional role;

- whether the recipient would reasonably expect this type of contact; and

Where PECR requires consent, we will only send electronic marketing where we have the necessary consent or another lawful exception applies.

We do not intentionally send unsolicited electronic marketing to sole traders or other individual subscribers where PECR requires prior consent and no applicable exception exists.

Every ReloIQ cold outreach process must respect previous objections and suppression records.

Generating relocation intelligence

We process public business information to:

- detect company address changes;
- distinguish likely commercial relocations from administrative address changes;
- calculate relocation-confidence and commercial-relevance indicators;
- identify service providers who may consider the opportunity relevant;
- prevent duplicate or inappropriate lead delivery.

Where this involves personal information, our lawful basis is normally our legitimate interests in operating a proportionate B2B relocation-intelligence service.

We aim to minimise personal information and focus on company-level information.

Sharing relocation opportunities

ReloIQ may make relevant relocation information available to suitable business customers where this forms part of the ReloIQ service.

Where information constitutes personal information, we consider the necessity, proportionality and privacy impact before processing or disclosing it.

ReloIQ does not intend to operate as a database of private individuals or sell private personal contact details.

7. BUSINESS-TO-BUSINESS MARKETING

ReloIQ primarily markets to corporate businesses.

Under UK electronic-marketing rules, different requirements apply depending on whether the recipient is a corporate subscriber or an individual subscriber such as a sole trader.

Where ReloIQ uses personal information for B2B marketing, UK data protection law still applies.

You may object to the use of your personal information for direct marketing at any time.

8. RELOCATION SCORES AND AUTOMATION

ReloIQ uses automated rules and software to assess business information and produce indicators such as:

- Relocation Confidence; and
- Commercial Relevance.

These indicators are intended to rank business opportunities.

They are not intended to make solely automated decisions about individuals that produce legal effects or similarly significant effects on those individuals.

9. WHO WE SHARE INFORMATION WITH

Where necessary, ReloIQ may share or process information using service providers including:

- email-delivery providers;
- cloud-hosting providers;
- security and networking providers;
- database and productivity providers;
- electronic-signature providers;
- payment providers;
- professional advisers such as accountants, solicitors or insurers.

ReloIQ currently uses or intends to use services including:

- MailerSend for email delivery;
- Railway for application hosting;
- Cloudflare for networking and inbound email processing;
- Google services for operational records;
- SignWell or another electronic-signature provider for Buyer Agreements;
- Stripe or another payment provider for payments and subscriptions.

These providers only receive information reasonably required for their role.

We may also disclose information where required by law, court order, regulator or law-enforcement authority.

10. SHARING INFORMATION WITH RELOIQ BUYERS

ReloIQ's service involves supplying suitable business customers with information about potential business relocation opportunities.

Information supplied may include company-level information such as:

- company name;
- company number;
- previous and current business address information;
- Companies House filing information;
- relocation-confidence information; and
- commercial-relevance information.

ReloIQ aims to avoid supplying unnecessary personal information.

Where an address appears to be residential or otherwise presents an increased privacy risk, ReloIQ may restrict, withhold or otherwise minimise the information supplied.

ReloIQ customers are contractually required to use supplied information lawfully and for permitted business purposes.

11. INTERNATIONAL DATA TRANSFERS

Some of ReloIQ's service providers may process information outside the United Kingdom.

Where UK data protection law requires safeguards for an international transfer, ReloIQ will seek to use an appropriate lawful transfer mechanism, such as:

- UK adequacy regulations;
- the UK International Data Transfer Agreement;
- an approved UK Addendum; or
- another legally recognised safeguard.

12. HOW LONG WE KEEP INFORMATION

ReloIQ does not keep personal information for longer than reasonably necessary.

Retention depends on the reason the information is held.

Customer, contractual and payment records

These may normally be retained for up to six years after the end of the relevant customer relationship or transaction where necessary for contractual, accounting, tax or legal purposes.

Marketing and prospective-customer information

Where no customer relationship develops, contact information will be periodically reviewed and deleted or anonymised when it is no longer reasonably required.

ReloIQ intends normally to review inactive prospect information within 24 months of the last meaningful interaction.

Suppression records

Where someone objects to direct marketing, ReloIQ may retain a minimal suppression record for as long as reasonably necessary to ensure that the objection continues to be respected.

Lead and relocation information

Lead information is periodically reviewed and will be deleted, restricted or anonymised when it is no longer reasonably needed for:

- delivering the service;
- maintaining lead history;
- preventing duplicate lead delivery;
- handling replacement claims;
- measuring service quality;
- resolving disputes; or
- complying with legal obligations.

Communications

Business communications may be retained for as long as reasonably necessary to manage the relationship, deal with enquiries or disputes and maintain appropriate business records.

Security records

Security and technical records may be retained for a limited period appropriate to detecting abuse, investigating incidents and maintaining service integrity.

We may retain information for longer where required by law or where reasonably necessary for an active legal claim, investigation or dispute.
